Setting Up & Using Your Voicemail

This article will show you how to set up your voicemail, change greetings, and how to check your voicemail.

Voicemail Setup

Set Up Voicemail From The Phone

From your phone, press the Message button. If this is the first time doing this, you'll be setting up your recorded name (for use in the company directory) as well as your voicemail greeting. You'll be prompted to enter your password followed by #, which by default should be the Zip Code for your company's building

After you've entered that, you'll be prompted to first record your name. This will only be used if your company uses the dial by name directory, but we recommend everyone set it up. All you need to do is say your name for this part. Say your name and hit # to move to the next step.

Once you've recorded your name, you can now record your greeting. This is what callers will hear when reaching your voicemail. If you don't get it right the first time, that's okay! You can re-record it afterwards. Here's an example of a greeting if you are looking for an example:

"Hi, this is [your name]. I'm either on a call or away from my desk. Please leave your name, number, and a brief message and I'll get back to you as soon as possible. Thank you."

When the system prompts you, record your greeting and hit # to finish setting up your voicemail. You're done! The system will now bring you to the main menu of your voicemail.

Managing Greetings

Change & Add Greetings From The Phone

To make any changes to voicemail greetings from the phone, log into your voicemail by pressing the Message key, enter your voicemail password, and then hit pound. Press option 6 to open the voicemail greeting page

You'll be presented with three options; Record Greeting, Review Greeting, and Select Greeting

To record or re-record a greeting, press option 1. The system will prompt you for the number of the recording you wish to change. Your default greeting will always be 1, so if you're just changing the default greeting press 1 and follow the prompts provided. Otherwise, press the corresponding number of the greeting you would like to change. 

To review/listen to greetings, press option 2. The system will prompt you for the number of the recording you wish to review. Your default greeting is 1, so to listen to that greeting press 1. Follow the prompts to exit the review greetings menu when finished.

To select the greeting callers will hear when reaching your voicemail, press option 3. By default, callers will hear the greeting you recorded earlier. If you'd like to select another greeting you have recorded, enter the corresponding number of that greeting you'd wish to make the default.

To do this from a mobile phone you can call the main number and dial 5000# then dial the extension you want to change the recording of then # and then enter the pin number for that extension.

Checking Voicemail

Check Voicemail From The Phone

When a voicemail is left for you, your phone will visually alert you. Press the message key to open your voicemail, enter your voicemail password, and then press 1 to listen to new messages.

Check Voicemail Remotely

To check your voicemail from outside the office, call the main number and either enter your extension number or have someone transfer you to your voicemail. When you hear the greeting from your voicemail, press * and you'll be prompted for your voicemail password. Enter it and follow the prompts to check your voicemail.
